Does Your Practice Have an Insurance Policy?
Aug 27, 2026
Most dental practices have insurance policies. But do you have an insurance philosophy?
There’s a difference.
Your policy tells your team what to do with insurance. Your philosophy tells them how your practice thinks and talks about insurance.
And if you haven't intentionally defined that, your team will define it for you.
Your Team Is Already Talking About Insurance
Every team member comes into your practice with their own experiences and beliefs about dental insurance.
Everyone will talk about insurance differently. Some might state "insurance won't pay for that" someone else might immediately start talking about deductibles, percentages, frequencies, and limitations.
Meanwhile, your doctor is trying to communicate what is actually best for the patient's health.
Now you have conflicting messages and the patient may not have even asked any insurance questions, the team just defaulted to giving them.
This is why your insurance philosophy needs to be an intentional part of your practice systems.
Start With One Key Phrase
Your insurance philosophy should have a simple statement that your entire team knows and can communicate.
For example:
"At [Practice Name], we are a patient-centered, unrestricted provider practice."
Then define exactly what that means:
-
We believe treatment decisions should be based on what is best for the patient — we are not insurance-driven.
-
Insurance is a financial benefit, not a guide for care.
-
We recommend treatment based on long-term health, function, and the individual needs of the patient.
-
Our focus is comprehensive, personalized care without allowing insurance limitations to influence clinical recommendations.
-
We help patients maximize any available insurance benefits.
-
We work for our patients — not insurance companies.
Now your team has something to come back to.
Insurance Shouldn't Lead the Conversation
This doesn't mean you don't talk about insurance.
It means insurance doesn't become the reason a patient does or doesn't value their care.
When a patient asks:
"Does my insurance cover this?"
Your team shouldn't immediately allow the conversation to become completely about coverage.
Answer the question, explain how your practice works with their benefits, and then reframe the conversation around the care.
Bring it back to:
What is the doctor recommending?
Why is it being recommended?
What is the outcome we're trying to achieve for this patient?
Insurance can be part of the financial conversation without becoming the center of the treatment conversation.
This Is a System
An insurance philosophy isn't just something you put in an employee handbook and forget about. It should be part of onboarding. It should be part of team training. It should be reinforced during meetings.
And most importantly, your entire team should be able to communicate it consistently.
Because when one person says, "Let's see what insurance will do," and another says, "We're recommending this because it's what you need," the patient is receiving two completely different messages.
That creates confusion and we know confused patients have a harder time making confident decisions.
Put the Patient Back at the Center
When your team understands that patient care is the focus and insurance is simply one tool used to help pay for that care, the conversation changes.
You're no longer allowing an insurance company to frame the value of treatment.
You're helping the patient understand:
Here's what we see.
Here's what we recommend.
Here's why it matters.
And here's how we'll help you use the benefits available to you.
That's a much different patient experience.
And when patients understand the why behind their treatment, trust the recommendation, and hear a consistent message from the entire team, they are much more equipped to confidently move forward with care.
Your insurance philosophy isn't really about insurance.
It's about creating a system that keeps your team aligned, your messaging consistent, and your patients — not their insurance benefits — at the center of the conversation.
